Value for Money & 10x ROI Framework

How MyTodolist Pays for Itself on Day 1

In manual or paper-based workplaces, operational friction drains up to 30% of working payroll. Between forgotten follow-ups, unclear task handoffs, redundant status meetings, and untracked client commitments, businesses leak thousands in direct productivity losses.

Operational Area Without MyTodolist (Manual Chaos) With MyTodolist (Standardized Workflow) Quantified Monthly Impact
Daily Task Prioritization Staff waste 30-45 mins every morning wondering what to do first, missing urgent P1 items. Today View auto-sorts P1 Urgent tasks, overdue items, and assigned deadlines in 1 click. +15 Hours Saved / Staff / Mo
Client Deliverables & Promises Promises written on sticky notes or WhatsApp get buried, leading to angry clients and discount demands. Circular Date Picker & iOS Time Picker link exact delivery hours with auto FCM Push alarms. Zero Lost Accounts / Penalties
Team Delegation & Follow-Ups Managers spend 2+ hours daily calling or walking to desks asking "Is that job done yet?". "Assigned by Me" dashboard displays real-time progress, completion timestamps, and bottlenecks. 75% Reduction in Status Meetings
Capture Speed & Accessibility Typing friction stops staff from recording minor work orders, causing unaccounted free work. Voice Assistant and Alt+T shortcuts capture complex tasks in under 5 seconds in English, Hindi, or Gujarati. 100% Billable & Handled Jobs Logged
Executive Accountability & Audits Finger-pointing during monthly reviews regarding who caused delayed projects. Printable Global Reports track completion velocity, overdue counts, and team velocity metrics. Crystal-Clear Audit Trail
The 10x ROI Calculation Rule: If an average team member earns ₹20,000/month (approx. ₹100/hour), saving 1.5 hours per day across 25 working days recaptures ₹3,750 of pure productive capacity per person per month. For a team of 10, that is ₹37,500/month saved—vastly outstripping software costs!

Daily Operating Routine (Standard Operating Procedure)

Step-by-Step Daily Staff Workflow

To maximize operational efficiency, every counter executive, team coordinator, and store manager should adhere to this standardized four-phase daily operating rhythm.

1

09:00 AM Morning Kickoff

Open Today View (/dashboard). Check your pending count badge. Review red P1 Urgent tasks first. Address any overdue items from yesterday using Bulk Reschedule or instant action.

2

11:00 AM Active Execution

Execute tasks in priority order. Use Alt+T or the Voice Command Mic to immediately log ad-hoc walk-in requests or calls before they are forgotten. Check off subtasks as milestones finish.

3

03:30 PM Mid-Day Sync

Managers open Assigned by Me to spot stalled delegate tasks. Staff check notifications for new team assignments. Reassign or adjust time slots in Schedule for afternoon delivery.

4

06:00 PM Shutdown Ritual

Achieve Inbox Zero. Move stray inbox tasks into target projects. Mark completed tasks done. Re-schedule remaining items to tomorrow. Clear notifications and leave with a clean slate!

Pro-Tip for Store Openings: Never start customer operations with unreviewed overdue tasks. If 5 items spilled over from yesterday, either complete them immediately or reschedule them to specific afternoon slots. This prevents mental overload and eliminates delivery misses.
4

Standard 5-Step End-to-End Operating Cycle

The Universal Task Lifecycle

Every job, customer requirement, or internal project moves through five well-defined stages from initial entry to final reporting.

Stage Primary Action System Tool / Trigger Required Output / Exit Criteria
1. Rapid Capture Record raw requirement instantly as soon as customer speaks or manager instructs. Alt+T Quick Add Modal, Voice Dictation Mic, or NLP Bar. Task exists with Title and initial Due Date in Inbox or specific Project.
2. Categorization & Priority Assign to appropriate business bucket, attach label tags, and assign urgency. Project Dropdown, Tag Checkboxes, Priority 1-4 Flag Picker. Task has designated Project (e.g., Orders, Operations), Color Tag, and Priority Level.
3. Delegation & Collaboration Assign responsibility to qualified team technician or take personal ownership. Team Dropdown, Assignee Selector (Me / Teammate). Assignee receives FCM notification; task shows on member's "Assigned to Me" queue.
4. Scheduling & Execution Block specific calendar time slot, execute subtasks, and track progress. Circular Date Picker, iOS Time Picker, Subtasks Checklist. Task scheduled on calendar; subtasks ticked off as work progresses.
5. Completion & Archival Confirm deliverable quality, mark task complete, and review in analytics. Complete Circle Checkbox, Global Report (/reports). Task moves to completed log with exact timestamp; reports update velocity counts.
5

Business Report Benefits & Analytics Insights

How Analytics Protect Profit Margins & Delivery Deadlines

The Reports Module (/reports) transforms daily task clicks into actionable business intelligence. Store owners and department heads can inspect performance metrics across teams, projects, and date intervals.

Overdue Bottleneck Isolation

Identifies tasks that have passed their deadline without completion.

  1. Filter reports by "Overdue" status to view stalled jobs.
  2. Group by Assignee to see which staff member has accumulated backlogs.
  3. Rebalance workloads immediately before customer delivery guarantees fail.
Team Velocity & Turnaround Rate

Measures how many tasks each team member closes per day or week.

  1. Compare completion rates between top performers and struggling technicians.
  2. Reward high-efficiency staff based on objective, timestamped metrics.
  3. Identify training opportunities where jobs take abnormally long.
Project Health & Balance

Visualizes progress across separate client accounts or store initiatives.

  1. Check completion progress bars for ongoing active projects.
  2. Spot neglected projects before clients follow up requesting status.
  3. Print or export clean PDF summaries for client progress briefings.
6

Mistake Corrector: Field Troubleshooting Guides

Instant Fixes for Common Operational Mistakes

Mistakes happen during fast-paced counter operations. Follow these step-by-step playbooks to resolve operational errors without corrupting schedules, losing data, or disturbing team members.

Playbook 1: Accidental Task Completion (Clicked Checkbox by Mistake)

Symptom: A staff member accidentally clicks the completion circle on a task that is still in progress, causing it to disappear from the Today View.

  1. Navigate to Tasks or the specific Project where the task lived.
  2. Click the filter tab labeled Completed (or ?filter=completed).
  3. Locate the accidentally completed task (it will have a strike-through title).
  4. Click the Checked Checkbox once again. The system immediately unchecks the task, clears the completed_at timestamp, and restores it to the active Today list!
Zero Data Loss: All subtasks, dates, and priorities remain intact.
Playbook 2: Overdue Pile-up (10+ Tasks Accumulated from Last Week)

Symptom: Due to an unexpected holiday or store rush, multiple tasks have red overdue warning badges.

  1. Do NOT delete or recreate the tasks (you will lose history and notes).
  2. Open Schedule (/schedule) from the main menu.
  3. Click the Bulk Schedule button at the top right.
  4. Select the target execution date (e.g., Tomorrow or Thursday).
  5. Check off the overdue tasks you wish to shift forward and click Apply Bulk Schedule.
  6. All selected tasks instantly receive the new due date without manual one-by-one editing!
Playbook 3: Task Assigned to Wrong Team Member

Symptom: A task was assigned to Technician A instead of Technician B, causing confusion on work ownership.

  1. Click on the task title to open the Task Edit Modal.
  2. Click on the Assignee Button (currently showing Technician A).
  3. Select Technician B from the dropdown list.
  4. Click Save Changes.
  5. Technician B immediately receives an in-app and push notification, and the item vanishes from Technician A's queue automatically.
Playbook 4: Stray Tasks Stranded in Inbox

Symptom: Quick-added tasks were saved without selecting a project and are cluttering the Inbox.

  1. Navigate to Inbox from the left sidebar.
  2. Click the task to open its details.
  3. Click the Folder Button (currently labeled "Inbox").
  4. Select the appropriate project folder (e.g., "Store Maintenance", "Client Custom Order").
  5. Save the task. It will immediately relocate to the designated project board and inherit project filters.
Playbook 5: Voice Dictation Not Recognizing Speech or Typing Incorrect Words

Symptom: Clicking the microphone does not type anything, or types garbled words in another language.

  1. Check browser permissions: Click the padlock icon in your browser URL bar and ensure Microphone: Allow is enabled.
  2. Check the Language Selector beside the mic:
    • If speaking English, ensure dropdown shows EN (en-IN).
    • If speaking Hindi, switch dropdown to HI (hi-IN).
    • If speaking Gujarati, switch dropdown to GU (gu-IN).
  3. Speak clearly into the microphone at a steady volume, approximately 6-12 inches from the device.
Playbook 6: Push Notifications or Alarms Not Appearing on Mobile/Desktop

Symptom: Staff do not receive alert popups when new tasks are assigned to them.

  1. Open browser settings and ensure Notifications are allowed for this domain.
  2. Open My Notifications (/my-notifications) in the main menu to confirm notifications are recorded in your in-app ledger.
  3. Ensure device OS "Do Not Disturb" or "Focus Mode" is disabled during store operating hours.
